Member Record

The Member record will provide for maintaining information regarding all types of member categories including:

  • Regular Members
  • Associate Members
  • Affiliate Members
  • Emeritus Members
  • Student Members
The organization will have complete control of all member data utilized by the system. The data will contain, at a minimum, the following information.


Member

  • Member ID
  • Individual and/or institution name
  • Full address information (unlimited)
  • E-Mail Address
  • Phone numbers (multiple contact numbers)
  • Member type
  • Categories of members
  • Dues category and status
  • Chapter Information
  • Mailing lists participation codes for letters,
    publications, committees and meeting attendance
As a by-product of maintaining member data, the organization will be able to porduce printouts or PDF documents and reports including:



MemReports

  • Labels
  • Profiles
  • New Member invoices
  • Membership cards
  • Directories and Rosters
  • Dues renewal notices and invoices
  • Reminder Notices
In addition, the member records are fully integrated into the financial package which includes an accounts receivable module and supporting cash receipts module. With the use of your current word processing environment, your organization will be able to send its members thank you cards and other types of letters as a part of your day-to-day activities.

Member Dues Billing

Your organization may issue invoices or renewal notices for dues amounts payable either on an expiration anniversary date basis or on a calendar year basis. This allows you the flexibility of produces monthly, quarterly, or annual billing cycles. The system provides a “dues category table” which allows for changing dues amounts charged without requiring a change to each individual member's records. The dues accounting are integrated with both Cash Receipts and Financial reporting. An important part of the system is that it maintains member dues separately from other member charges. Functions and reports to be included are:

  • Dues table maintenance
  • Dues table listing
  • Print dues invoices and/or renewal notices
  • Print reminder notices
  • Paid and/or unpaid dues reporting
  • Dues payment entry
  • Dues payment register
  • Acknowledgement and/or thank you letters
